Confidentiality Policy
JHBRIDGE Translation Services is committed to maintaining the confidentiality and security of all client documents and information. This policy outlines our practices for protecting sensitive materials.

1. Commitment to Confidentiality
JHBRIDGE Translation Services recognizes that clients entrust us with sensitive and confidential information, including personal documents, legal records, medical reports, immigration materials, business communications, financial documents, and other proprietary or private information. We take this responsibility seriously and are committed to protecting the confidentiality, integrity, and security of all client materials.
Confidentiality is a core principle of our business. All employees, contractors, translators, interpreters, and service providers working with JHBRIDGE are required to maintain strict confidentiality and handle client information with professional discretion.
2. Scope of Confidential Information
Confidential information includes, but is not limited to: all documents submitted for translation, interpretation, localization, captioning, or other language services; personal information such as names, addresses, birthdates, identification numbers, and contact details; legal documents including contracts, court filings, immigration applications, affidavits, and powers of attorney; medical records, health information, prescriptions, and treatment plans; financial documents such as bank statements, tax records, pay stubs, and business records; business communications, proprietary information, trade secrets, and internal documents; and any other materials or information provided by clients in connection with services.
3. Professional Discretion and Limited Access
JHBRIDGE limits access to confidential client information to individuals who have a legitimate need to access such information in order to provide the requested services. Access to client documents and information is granted only to: translators and linguists assigned to specific projects; interpreters scheduled for specific appointments; project managers and coordinators responsible for overseeing service delivery; quality assurance reviewers when applicable; billing and administrative staff who need access to process payments or respond to support requests; and technical staff who require access for system maintenance, security, or troubleshooting purposes.
All personnel with access to confidential information are trained on confidentiality obligations and security practices. JHBRIDGE may require employees, contractors, and service providers to sign confidentiality agreements or non-disclosure agreements (NDAs) as a condition of working with client materials.
4. Handling of Sensitive Legal, Medical, and Immigration Documents
JHBRIDGE regularly handles highly sensitive documents in legal, medical, and immigration contexts. We understand the critical nature of these materials and the potential consequences of unauthorized disclosure. Special care is taken to: ensure that legal documents are handled only by qualified linguists with legal translation experience; treat medical records with appropriate confidentiality in recognition of health information sensitivity; secure immigration documents such as passports, visas, birth certificates, marriage certificates, and USCIS submissions with heightened protection; and protect personal identifying information such as Social Security numbers, passport numbers, case numbers, and other sensitive identifiers.
Clients submitting sensitive documents should ensure they have the legal right and authority to share such materials. JHBRIDGE assumes that clients have obtained necessary consents or authorizations when submitting documents involving third parties or minors.
5. Secure Transmission and Storage
JHBRIDGE uses commercially reasonable technical and organizational measures to protect confidential information during transmission, storage, and processing. These measures include: encryption in transit using HTTPS/TLS protocols for website communication and secure file transfer; secure cloud storage with access controls, encryption at rest, and regular security monitoring; password-protected accounts with authentication requirements for user access; regular security assessments and updates to address emerging threats; and secure disposal and deletion protocols for documents after retention periods expire.
While we implement industry-standard security practices, no system is entirely immune to unauthorized access or data breaches. JHBRIDGE cannot guarantee absolute security but commits to maintaining reasonable safeguards and responding promptly to any security incidents.
6. Document Retention and Deletion
Client documents are retained only as long as necessary to provide services, process payments, respond to support requests, comply with legal obligations, and manage quality assurance. Standard document retention practices include: retaining translated documents and source files for up to 90 days after project completion to allow for revisions or client requests, unless earlier deletion is requested; retaining billing and payment records for the period required by law or accounting standards; retaining project metadata and communication records for operational and support purposes; and permanently deleting or anonymizing documents after applicable retention periods, except where longer retention is required by law, ongoing disputes, or client-specific agreements.
Clients may request early deletion of their documents by contacting JHBRIDGE. Requests will be honored where feasible, subject to legal, billing, and operational requirements.
7. Confidentiality of Interpretation Services
For interpretation services, including on-site interpretation, remote video interpretation, and telephonic interpretation, JHBRIDGE requires interpreters to maintain strict confidentiality regarding all information disclosed during interpretation sessions. Interpreters may not: record or transcribe interpretation sessions without explicit authorization from all parties; disclose information learned during interpretation to third parties; use information for personal benefit or the benefit of others; or retain notes or materials containing confidential information after the interpretation session concludes.
Clients and participants in interpretation sessions are also responsible for respecting confidentiality and not disclosing sensitive information to unauthorized individuals.
8. Exceptions to Confidentiality
Confidentiality protections are subject to certain exceptions where disclosure is legally required, necessary for business operations, or essential to protect rights or safety. JHBRIDGE may disclose confidential information in the following circumstances: when required by law, regulation, court order, subpoena, or government authority; to comply with legal obligations, regulatory requirements, or law enforcement requests; in connection with payment disputes, fraud investigations, or collection actions; to protect the legal rights, property, or safety of JHBRIDGE, our employees, contractors, or other clients; when authorized or directed by the client in writing; or with the consent of the client or the individual to whom the information relates.
JHBRIDGE will make reasonable efforts to notify clients of legal requests for disclosure where permitted by law, unless notification is prohibited or would compromise an investigation.
9. Third-Party Service Providers and Subprocessors
JHBRIDGE may engage third-party service providers, subcontractors, or technology vendors to support service delivery, including cloud hosting providers, payment processors, translation management systems, and communication platforms. These third parties may have access to client information as necessary to perform their functions.
JHBRIDGE selects third-party providers that maintain appropriate security and confidentiality standards. Where feasible, third-party providers are contractually required to protect client information and use it only for authorized purposes. JHBRIDGE does not sell, rent, or trade client information to third parties for marketing or unrelated purposes.
10. Client Responsibilities
Clients are responsible for: ensuring they have the legal right and authority to submit documents and information to JHBRIDGE; protecting their account credentials and preventing unauthorized access to their accounts; not uploading documents they are not authorized to share; providing accurate contact information and instructions for document delivery; and notifying JHBRIDGE immediately if they believe their account or documents have been compromised.
Clients should use secure methods to transmit sensitive information and avoid sharing passwords or access credentials with unauthorized individuals.
11. Confidentiality Breaches and Incident Response
In the event of a suspected or confirmed confidentiality breach, unauthorized access, or security incident involving client information, JHBRIDGE will: investigate the incident promptly to determine the scope, cause, and impact; take immediate steps to contain the breach and prevent further unauthorized access; assess the risk to affected clients and determine notification obligations; notify affected clients in accordance with applicable law and within a reasonable timeframe; and implement corrective measures to prevent future incidents and improve security practices.
Clients who become aware of a potential security issue or confidentiality breach should contact JHBRIDGE immediately so that appropriate action can be taken.
12. No Absolute Guarantee of Confidentiality
While JHBRIDGE is committed to maintaining confidentiality and implementing reasonable security measures, we cannot guarantee absolute confidentiality or protection against all unauthorized access, disclosure, or loss. Factors beyond our control, including client actions, third-party conduct, cyberattacks, technical failures, or legal compulsion, may result in disclosure of confidential information.
Clients acknowledge and accept these inherent risks when submitting materials to JHBRIDGE. To the extent permitted by law, JHBRIDGE disclaims liability for unauthorized disclosure resulting from circumstances beyond our reasonable control.
13. Confidentiality Agreements and Custom Arrangements
For clients with specific confidentiality requirements or heightened security needs, JHBRIDGE may enter into customized confidentiality agreements, non-disclosure agreements (NDAs), or data processing addendums. Clients requiring specialized confidentiality protections should contact us to discuss custom arrangements before submitting materials.
14. Trust and Professional Standards
JHBRIDGE adheres to professional standards of conduct expected in the translation and interpretation industry. Our commitment to confidentiality reflects our respect for client trust, our recognition of the sensitive nature of the work we perform, and our dedication to maintaining the highest ethical and professional standards.
